Privacy policy

This page describes the data handling implemented by the current DepoProof service. We update it before materially changing how customer content is processed.
Who operates DepoProof
DepoProof is operated by Sam N. Ireland, doing business as DepoProof. Privacy questions and data requests can be sent to privacy@depoproof.com.
Data we process
We process the name, email address, authentication records, purchased-credit ledger, and support messages associated with an account. When you use the product, we also process uploaded transcript text or scan bytes, parse metadata, generated digest findings, and verification records. Stripe receives card details through its hosted checkout; DepoProof receives payment status and transaction references, not full card numbers.
How transcript content is used
Born-digital files are parsed on DepoProof infrastructure. A paid digest sends transcript text to the configured Anthropic commercial API for inference. A paid scanned-PDF transcription sends page images to that API. Transcript content is used to provide the requested processing and is not intentionally used by DepoProof to train models.
Storage and deletion
Source transcript text and scan bytes are scheduled for deletion 30 days after upload, extended when necessary to cover delivery of a later digest. You can delete stored source earlier from the document screen. Source deletion also removes the transcript excerpt from the parse report. Generated digests remain available until you delete the document. A verification receipt containing hashes, coordinates, filename, matter label, and processing statistics may remain after source deletion so citations can be re-checked; it contains no transcript quotation text.
Service providers
DepoProof currently uses Hetzner for hosting, Anthropic for paid AI inference, Stripe when checkout is configured, and a transactional email provider when account email is configured. Providers receive only the data required for their role. We do not sell personal data.
Security and access
Data is encrypted in transit. Application and database access is restricted to service operation. No person reads transcript content in the normal product workflow. Incident-specific access is limited to what is needed to resolve the event or comply with law.
Your requests
You may request access, correction, deletion, or a copy of account data by emailing privacy@depoproof.com. Applicable law may provide additional rights. Billing and security records may be retained where required for fraud prevention, accounting, or legal compliance.
